Refunds & Cancellation

Scope

This policy applies to professional engagements with Systemrelay Grid: ESG Peer Comparison Reports, Sector Materiality Briefings, Governance & Controversy Reviews, and related scoped research. It does not cover physical goods, software licences, or subscription products — we do not sell those.

Deposit

A 40% deposit confirms the engagement after you accept the scope note. Deposits reserve analyst time for the agreed window.

Full refund eligibility

You may receive a full refund of amounts paid if we cancel the engagement for reasons within our control (for example illness that prevents delivery and no substitute analyst is available) and no draft deliverable has been issued.

Partial refunds

If you cancel in writing more than five business days before the agreed kickoff date, we refund amounts paid minus an administrative fee of THB 5,000 or 10% of the deposit, whichever is greater.

If you cancel within five business days of kickoff, or after kickoff has occurred, fees for work already performed are due. We calculate earned fees based on hours logged against the scope (source gathering, drafting, review). Unused deposit balance after earned fees may be refunded.

Non-refundable items

• Administrative fee on late client cancellations as above
• Third-party document retrieval fees already incurred at your request
• In-person kickoff travel costs you asked us to book
• Completed deliverables already issued in final form

Work already started

Once source gathering or drafting has begun, refunds are limited to unused amounts after earned fees. Delivering a final memo completes the engagement; the balance invoice is then payable in full and is not refundable except for documented failure to deliver the scoped pages.

Rescheduling

You may reschedule kickoff once without fee if you give at least five business days’ notice and a new date within thirty days is agreed. Further reschedules may be billed at THB 3,000 per change.

No-shows

If you miss a scheduled kickoff or walkthrough without notice, we may charge a THB 4,000 no-show fee and rebook subject to analyst availability.

Refund process and timing

Email contact@systemrelaygrid.digital with your engagement reference and reason. We confirm eligibility within five business days. Approved refunds are returned to the original payment method within fifteen business days of approval.

Method

Refunds use the same bank transfer or card channel as the original payment where possible. Currency conversion differences on international transfers are borne by the payer’s bank.

Exceptions

Force majeure events (severe travel disruption, exchange outages preventing source access for prolonged periods) may justify timeline revision rather than automatic refund; we discuss options in writing.
